How to Cancel a Rental

In order to properly cancel a rental that has been created in RecPro you will need to edit that rental and change its rental status to 'Canceled'. This will remove the event from your facility calendar while still keeping a record of the permit number being created.  Deleting all of the dates within the rental is not considered a cancelation.  If the patron is also due a refund for the canceled permit then that can be done after changing the rental status (See below).


NOTE:  When making a cancelation a refund is not generated.  If the customer is owed money you must initiate a refund from the shopping cart module after saving your cancelation outlined below.


1.  Edit the rental.  You can do this from the shopping cart under 'Activity History' -> 'Rentals' or by going to 'Facilities' -> 'Rentals' -> 'Manage Facility Rentals'


2.  Change the rental status to 'Canceled'


3.  Save your changes by pressing 'Update Rental'


4.  If the rental has an open balance that has not been paid the software will ask if you want to close that balance after saving the cancelation.


Rental Refund

If the patron requires a full refund after canceling the rental, you can do so through the shopping cart module.

1.  Open the customer under 'Shopping Cart' -> 'Shopping Cart'

2.  Press 'Refunds'

3.  Highlight the original rental payment and add it to the cart by pressing 'OK'.

4. Complete the refund process by checking out.
